EMPLOYMENT POSITION: Assistant Facilities Manager

SKILL RESPONSIBILITIES: Assistant Facilities Manager is a professional who maintains and operates a multimillion-dollar physical plant effecting health and safety of 600 people. Assistant Facilities Manager assumes full responsibility for operation and maintenance, by staff and contractors, of electrical and mechanical equipment used to provide heat, AC, hot water. Assistant Facilities Manager is responsible for the performance of the Maintenance Technicians.

Schedule: 8:00AM – 5:00PM Monday through Friday with 1-hour lunch.

Available 24/7 for all maintenance issues. Must have and provide cell phone number.

FUTURE PROMOTION OPPORTUNITY: It is anticipated this salaried individual will be able and well-suited to move up to the Facilities Manager position in the near future when our current Facilities Manager retires.

Specific Tasks and Responsibilities

Performs inspection, testing, cleaning, operation, maintenance, adjustment and repair of all mechanical, electrical and fire equipment to ensure that equipment functions properly. This includes, but is not limited to, air conditioning, heating, plumbing, electrical and fire protection systems and all auxiliary equipment.

Prepares schedules for building maintenance, mechanical repairs and preventive maintenance programs. Performs maintenance when possible and recommends companies for proposals of services that cannot be accomplished in?house.
Performs or delegates all common area and in?unit service requests to be completed in a professional manner. Communicates delays or part requirements to owner if necessary. Assures all parts are inventoried on in-unit service work tickets for proper billing and turned in to the Assistant Manager daily.
Inspects common facilities to ensure areas are maintained and correct problems. Maintenance responsibility are: interior and exterior lighting, exterior eaves, railings, door, roof, roof fans, water heaters, air handling units, mechanical equipment, pump rooms, emergency generator, minor elevator problems, elevator machine rooms, garages, lobby, community room, compactor rooms, electrical rooms, corridors, stairwells, common area drains and fire protection.
Maintains inventories of supplies, tools, and equipment required for repairs, maintenance and upkeep of the property, including contracted services to ensure against shortages which can interrupt production of work, accumulates parts and supplies to meet the needs of the building.
Operate the fire alarm emergency control system in accordance with the Arlington County fire code. Supervise yearly testing of fire alarm system.
Assists the Facilities Manager and General Manager in preparing the mechanical portion of the annual operating budget and reserve schedule.
Order supplies within budget constraints, to insure the proper operation of the property. For purchases over $500 approval of the General Manager is necessary.
Monitors contractors and follows up to assure that work is being completed in accordance with specifications and that all instructions are accurately carried out.
Assists in the preparation of bid specifications and gathering of proposals for all contracted work relating to the mechanical equipment or physical plant.
Each week, performs an outside light check, replacing lamps as required.
Assesses worn or damaged mechanical and auxiliary equipment and recommend to General Manager a course of action.
Ensure compliance with federal, state, local standards or association standards.
Assists owners with in?unit maintenance problems or information.
Coordinate snow removal including ramps and walkways.
Checks pool and spa area regularly and makes necessary repairs.
Keeps the garage mechanical doors lubricated and in good working condition.
Recaulks all reachable common areas (interior and exterior) when necessary.
Operate, repair, install, maintain and service, in accordance with warranties and service contracts, heat and air conditioning systems and equipment, and perform the change?over of the systems when required.
Replace all HVAC air filters on a schedule with copies to General Manager.
Maintain daily/weekly operation logs of all inspected mechanical equipment. Submit logs to General Manager for weekly Board Report.
Starts, stops and maintains all compressors, pumps, and fans; makes all changes in the operating status of the mechanical equipment as required.
Check and assure that plumbing and air conditioning drain lines are open. On an emergency basis, correct sewer backups and sources of water flooding.
Install and maintain all security devices needed throughout the building.
Provide guidance on operation of equipment installed in units such as heating and cooling systems, as requested by unit owners or residents.
All other duties as assigned.

The General Manager is responsible to the Board for the functioning of the Condo. This can only be done through the staff which reports to and takes direction from the General Manager. To do this most effectively, the General Manager is responsible for delegating tasks and responsibilities for engineering work through the Facilities Manager. The Facilities Manager reports to the General Manager. The Assistant Facilities Manager reports to the Facilities Manager.
