The part-time Business Operations Manager will be responsible for financial and administrative processes to support this small, fast-paced non-profit to ensure program efficiency and organizational health. This position requires a detail-oriented, self-motivated individual with strong organizational skills and expertise in non-profit financial record-keeping, budgeting, and reporting. The position will provide critical “behind the scenes” support to keep our teams working efficiently and effectively so that SCAN makes a real difference for children, families, and the Northern Virginia community.

Roles and Responsibilities:
Prepares checks, tracks and organizes timely payment of all bills and invoices, including proper coding;
Prepares weekly bank deposits;
Collects timesheets and enters payroll/leave data in online payroll system every two weeks; manages retirement and Flexible Spending Account transfers and accounting;
Enters financial actions within accounting system via QuickBooks and ensures data accuracy and integrity; Serves as liaison with bookkeeper who reconciles accounts monthly;
Ensures timely, accurate record-keeping and coaches program staff in order to ensure accurate financial coding;
Orients and assist new employees in completing paperwork for hiring, payroll and benefits; serves as liaison for information and updates relating to insurance, flexible spending accounts, and retirement benefits;
Prepares monthly financial reports for Executive Director and Board Treasurer, quarterly reports for Board and Program Managers, and grant-specific reports according to grant-specific deadlines;
Drafts the annual operating budget with Executive Director and Program Managers’ input; Prepares program budgets for grant applications.
Maintains financial files (electronic and paper) according to best accounting and administrative practices for charitable organizations;
Coordinates document preparation for the annual audit and tax filing;
Serves as the first line of technology troubleshooting within the staff;
Maintains organization-wide calendar and coordinates staff and committee meeting scheduling;
Supports volunteer engagement and donor/contributor recruitment/cultivation whenever interacting with the public; and
Other duties as assigned to support SCAN’s mission and organizational health.

Preferred Qualifications
Superior time management skills and ability to create and independently implement weekly, monthly, and quarterly routines;
Proven record of managing multiple tasks/projects in a fast-paced environment;
Strong attention to detail and deadlines, and a zeal for order, systems and organization;
Familiar with nonprofit financial tracking practices, producing/interpreting financial reports, and preparing financial grant reports;
Proficiency with QuickBooks for Nonprofits software;
Strong technology skills, particularly with excel for preparing regular and on-demand financial reporting;
Experience with Salesforce and human resource systems (for payroll, flexible spending accounts, etc.) preferred;
Demonstrated strong work ethic, positive attitude and flexibility; ability to self-manage and desire to support senior leadership;
Experience working in community-based nonprofit organizations;
Ability to work in close proximity (shared space) with colleagues, in a collaborative and friendly environment
Understanding of and commitment to maintaining the confidential nature of client, donor and personnel information;
Ability to find meaning in “behind the scenes” administrative work that supports SCAN’s overall mission; and
Willingness to perform other duties as assigned for success of the organization.

Average Hours/Week: Part-time: 16-22 Hours per week (to be performed during Monday-Friday 9-5pm according to a regular weekly schedule to be agreed upon at hire)
