The Administrative Coordinator is responsible for supporting the administrative needs of the NESTcc and its Executive Director and Deputy Director. This includes administrative support for travel & events, correspondence, material development, production and distribution, record maintenance, and meeting scheduling. The primary responsibility will be supporting the administrative needs of the Executive Director.

In addition, this person works closely with NESTcc project managers, staff, and consultants to support project initiatives. The individual must have strong communications skills and experience supporting meetings and events; be technically adept with administrative IT tools such as the Microsoft Office product suite. The person must be highly organized and detail oriented, ability to take appropriate initiative. The person must be able to work well in a fast-paced quickly evolving environment. Finally, as a member of the MDIC team, the individual contributes to the general advancement of the MDIC mission and goals through the work to establish NESTcc. This position will have exposure to national leaders in the patient, medical device industry, academic and regulatory institutions and organizations.

Objectives and Responsibilities

Provide detailed calendar management, scheduling support, and general administrative support for the NESTcc Executive Director and Deputy Director, including correspondence, travel, meals & lodging, meeting materials, and expense reporting
Support the organization and maintenance of shared organizational files
Provide support for meetings, events, webinars and teleconferences
Provide general support and coordination for NESTcc programmatic activities as needed, under the supervision of the Deputy Director
Provide additional support as needed to the Executive Director
Complete assigned deliverables in consultation with the Deputy Director
Provide regular updates on progress to the NESTcc Executive Director and Deputy Director
Support MDIC’s mission of advancing the field of medical device regulatory science

Bachelor of Science/Arts degree or equivalent experience
1-3 years’ experience supporting C-level executives including Board reporting relationships, or equivalent experience
Ability to coordinate multiple priorities and prioritize tasks and complete tasks in a timely manner
Ability to work in a fast-paced environment with multiple demands
Experience supporting the development of processes and materials to support broad business initiatives
Use and maintain strict confidentially, discretion, and judgment in dealing with confidential, sensitive and controversial issues in all aspects of work
Excellent computer skills, including Microsoft Office
Excellent organizational skills with impeccable attention to detail
Excellent verbal and written communication skills with the ability and comfort to interact professionally with staff, board members, and stakeholders
Excellent interpersonal skills
Experience identifying and coordinating relationships with professional services vendors/consultants
Ability to follow-up and follow through on actions as necessary

Other Skills/Abilities
Professional experience in MedTech or Life Science industry preferred
Ability to be flexible and work collaboratively as a team within a dynamic, start-up work environment
Interest in the medical device industry and enterprise with a willingness to engage in continuous learning and professional and personal growth
Interest in working and engaging with different stakeholder groups
Experience with a variety of web based tools including SalesForce, RingCentral,, WordPress, Adobe Design, WebEx and ability to adapt to new collaborative technologies as they become available
Self-motivated, self-directed and a quicker learner
Experience working with virtual teams is a plus
Some minimum local travel might be required

Reporting Relationships
The employee will report to the NESTcc Deputy Director
Works closely with the Executive Director and Project Mangers to support overall goals and objectives

Paid Time Off (PTO) - Regular full-time employees accrue Paid Time Off (PTO) at a rate of 6.667 hours per pay period up to a maximum of 160 hours a year. Paid time off is available to be used for sick and vacation time away from work. PTO accruals reset on January 1 each year, and up to 40 hours of PTO may be carried over.

Coverage is available in 2 tiers: employee or family. MDIC generously sponsors the coverage and offers the option of premium payment on a pretax basis. Coverage begins date of hire.

Dental Insurance – Our current plan is with Delta Dental of Minnesota. Coverage for preventive care at 100%, basic restorative at 80%, major restorative at 50% after calendar year deductible. Special dental wellness rewards program also available. MDIC generously sponsors the coverage and offers the option of premium payment on a pretax basis. Coverage begins date of hire.

Short Term Disability Insurance – Paid for byMDIC, this program will provide income replacement at 60% of your pay should you be unable to work due to illness or injury unrelated to your job. Coverage begins on the first of the month following date of hire.

Long Term Disability Insurance – Paid for by MDIC, this program will provide income replacement at 60% of your pay should you be unable to work due to illness or injury unrelated to your job. Coverage begins on the first of the month following date of hire

Life Insurance - Paid for by MDIC, the plan offers up to $50,000 in life coverage with additional benefits available for claims resulting from accidents.

403(B) Retirement Plan – MDIC currently sponsors a Safe Harbor 403(b) Retirement plan with a match of up to 4%. Employees are immediately vested.
